How to build a strong foundation with a detailed asset review

Let’s put the past year behind us and start the year off fresh! Sounds like a great idea but where do you start?  In this blog, we will go over what technology assets are and build a foundational understanding of them, which is the first step to “starting the year off fresh”!

You could complete this inventory yourself, but the best way to ensure you get the most comprehensive review of it is by partnering with an MSP, “Managed Service Provider.” Our first step to quickly identify how to help your business succeed is to complete a detailed asset review to get the full picture of your technology environment.

What is a detailed asset review? This is a detailed inventory of all your technology assets such as servers, workstations, peripheral devices, software and so much more. It’s so important to have a strong foundational understanding of what you have so you can make informed business decisions. Once you understand what you have you can assess what you need now or in the future and plan out your budget accordingly.

For instance, if you realize each employee has a computer, a monitor, keyboard, and mouse you can add this cost together and project how much it will cost for each new employee.

If you are creating an asset list yourself make sure to include all technology assets which may include some or all of these:

• Computers

• Servers

• Firewalls

• Switches

• Access Points

• Monitors

• Peripherals

• Webcams

• TV’s

• iPad’s / Tablets

• All Cords (Power, HDMI, VGH…)

• Software / License

• More

Include detailed information in this list such as:

• Serial number

• Purchased date

• Brief description

• Model number

• Warranty information

• Software / Licensing expiration date

• Estimated end of life (years)

Once you have a complete picture of your business's technology foundation, you can begin to plan for improvements and emergencies. This planning is critical to ensure your operations continue running smoothly should you need to transition to remote work quickly or need to replace hardware urgently. Having critical information such as serial numbers, warranty periods, and device quantities in a consolidated place can save you money, time, and headaches.

So now that you have an asset list and know the lifecycle of your equipment, what is left to do? Talk to your MSP to discuss a roadmap for technology improvements, to make sure your assets are secured and to proactively plan for equipment replacement. Set policies in the office to protect and maintain your investments. Start planning for an emergency now!
